Choosing a conference system is no longer a simple matter of placing several microphones on a table. A good conference system should feel almost invisible during the meeting. Participants should be able to speak clearly, the chairperson should be able to manage the discussion, remote attendees should hear the room without echo or noise, and the AV team should be able to maintain the system without constant troubleshooting.

The first step is to understand how the room is actually used. A 12-seat executive boardroom, a 60-seat government chamber and a multi-purpose training room may all need microphones, but they do not need the same system design.

Basic systems may allow several microphones to remain active at the same time. More advanced rooms often need first-in-first-out, limited speaker quantity, request-to-speak, chairman priority and voice-activated modes. For formal meetings, microphone management keeps the discussion organized and reduces background noise.
Clear voice pickup is the foundation of any meeting room. The system should control echo, feedback, inconsistent speaking volume and background noise. In hybrid meetings, this becomes even more important because remote participants will immediately notice poor room audio.

International meetings may require multi-language audio channels. In this case, the conference system should work with interpreter units, language distribution, infrared or wireless receiving equipment, and stable channel management.
A conference system rarely works alone. It usually needs to connect with loudspeakers, DSP processors, video conferencing platforms, PTZ cameras, matrix switchers, recording devices and control panels.
